The Reminder System That Changed My Life as a Mom and Entrepreneur

Struggling to remember tasks as a busy mom or entrepreneur? Here’s the simple reminder system that helps me stay organized, reduce stress, and manage both home and business with ease.

Why I Needed a Better Reminder System

After going through chemo, I experienced what’s often called “chemo brain.” For me, this meant struggling to remember:

  • Daily to-dos

  • People’s names

  • Things I had just read

As both a mom and entrepreneur, this forgetfulness was incredibly challenging. I knew I needed a system that would help me stay on top of tasks—without relying on memory alone.

How I Built My Reminder System

Step 1: Make a Master Task List

I started by writing down everything that needed to get done regularly, but wasn’t part of my daily routine. For example:

  • Writing a card to a friend

  • Deep cleaning the fridge or freezer

  • Dusting baseboards

On the business side, I also included smaller daily/weekly accountability tasks I often skipped because I don't like doing them.

👉 Pro tip: Use a tool like ChatGPT to help you add things you may not think about, but need to do so nothing slips through the cracks.

Step 2: Organize by Frequency and Season

Instead of feeling overwhelmed by everything at once, I scheduled tasks based on how often they needed to happen and tied them to the right season.

Examples:

  • Spring: Clean patio furniture, pressure wash outside

  • Fall: Prep for holiday hosting - deep clean kitchen, check outdoor lighting

  • Every 2 years: Reseal porches

This way, I could prepare for big events (holidays, guests, parties) without last-minute stress.

Step 3: Choose the Right Tool

At first, I created a Google Doc with columns for:

  • Task name

  • Frequency

  • Month

  • Notes

  • Progress markers

But… it wasn’t practical. I realized I needed something that would remind me - not another list to check. After testing, I switched everything into my iPhone Reminders app. That’s when things really clicked.

With Siri, it became super easy to add things on the go:
“Hey Siri, add a reminder to my PHNX list to check my account balance at 10pm tonight.”

Why This System Works for Moms and Entrepreneurs

✔️ I can plan tasks years in advance (like resealing porches) or just daily reminders.
✔️ Checking things off gives me a motivational boost.
✔️ In short pockets of time (5–15 minutes), I can knock out tasks without decision fatigue.
✔️ It saves me from mental overload and helps me actually enjoy downtime.

Final Thoughts: Evolving With Your Season

This reminder system reminded me (pun intended 😉) that the systems that worked in one season of life might not work in the next.

As moms and entrepreneurs, our lives are constantly evolving. Our systems should evolve with us.
